This Privacy Policy explains how Team Intelligence, Inc. (“Team Intelligence,” “TeamQ,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information in connection with our websites (including teamq.io), applications, and the TeamQ and Coach Q services (together, the “Services”). It applies to visitors to our sites and to people who use the Services, including administrators, managers, coaches, athletes, and parents or guardians.
Relationship to our Terms of Service. This Privacy Policy is a separate document from our Terms of Service. The Terms govern the contractual relationship for use of the Services; this Privacy Policy describes our privacy practices and is the Privacy Policy referenced in those Terms. If there is any conflict between the two documents on a privacy matter, this Privacy Policy controls.
Our role: controller and service provider. For many of our organizational customers (for example, teams, clubs, and schools), those organizations decide what athlete and team information is collected and why. In that case, the organization is the party responsible for that information (often called the “controller”), and we act on its behalf as a service provider (or “processor”). If you are an athlete, parent, coach, or manager and you have questions about how your information is used, please contact the organization that invited you to the Services. We are responsible as the controller for the information we collect for our own purposes, such as account registration, billing, site analytics, and our own communications.
1. Information We Collect
We collect the following categories of information.
Information you or your organization provide
• Account and profile information: name, email address, telephone number, role (administrator, manager, coach, athlete, or parent or guardian), organization or team affiliation, username, and password.
• Assessment and performance content: responses, results, scores, comments, questions, images, documents, and other content submitted through the Services, including Coach Q and TeamQ assessment data. Much of this is submitted by, or on behalf of, an organization about its athletes and teams.
• Parent or guardian information: for athletes under 18, the name and contact details of a parent or legal guardian, and records of consent.
• Communications: messages, support requests, survey responses, and feedback you send to us.
• Payment information: billing contact and transaction details. Card and bank account details are collected and processed by our third-party payment processor, not stored by us. See Section 4.
Information we collect automatically
• Usage data: pages viewed, features used, actions taken, dates and times of access, and referring pages.
• Device and log data: IP address, browser type, operating system, device identifiers, and diagnostic and performance data.
• Approximate location: general location inferred from IP address. We do not collect precise geolocation unless you enable it.
• Cookies and similar technologies: see Section 3.
Information from third parties
If you connect to the Services through a third party (for example, a single sign on provider), we receive information from that service as permitted by it and by your settings. We may also receive information from our service providers and business partners.
Sensitive information. Please do not submit government identifiers, financial account numbers, health information, or other especially sensitive data through the Services except where a specific feature is designed to collect it. Our Terms of Service restrict the submission of such information.
2. How We Use Information
We use personal information to:
• provide, operate, maintain, and secure the Services;
• create and manage accounts and authenticate users;
• deliver Coach Q and TeamQ assessments and generate results and feedback;
• process payments and manage subscriptions and billing;
• provide customer support and respond to requests;
• send service messages, including security alerts and multi-factor authentication codes;
• send marketing communications where permitted, from which you can opt out at any time;
• understand usage, improve and develop the Services and new features;
• detect, prevent, and address fraud, abuse, security, and technical issues; and
• comply with law and enforce our agreements.
Aggregated and anonymized data. We may create anonymized and aggregated data that does not identify any individual and use it for any lawful business purpose, including analytics, benchmarking, and improving the Services. Because this data cannot reasonably be used to identify a person, it is not treated as personal information under this Policy.
3. Cookies and Tracking Technologies
We and our service providers use cookies, pixels, and similar technologies to keep you signed in, remember preferences, measure and analyze usage, and support security. You can control cookies through your browser settings, and where required we present a cookie banner or preference tool that lets you manage non-essential cookies.
4. How We Share Information
We do not sell personal information for money. We share information only as described below.
• With the organization that invited you: administrators, managers, and coaches within your organization may access athlete and team information as needed to deliver coaching and assessments.
• Service providers: vendors that host, support, and help us operate the Services, bound by contracts limiting their use of the information.
• Payment processor: our payment processor collects and processes payment details under its own terms and privacy notice.
• Legal and safety: when required by law, to respond to legal process, to enforce our agreements, or to protect the rights, safety, and security of users, the public, or Team Intelligence.
• Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
• With your direction or consent: when you ask us to share information or otherwise agree to it.
5. Age Requirements and Minors
Minimum age. The Services are not intended for and may not be used by anyone under 14 years of age. We ask for date of birth at registration and do not create accounts for users under 14. If we learn that we have collected information from someone under 14, we delete it and close the account.
Users aged 14 to 17. If you are under 18, you may use the Services only with the permission of a parent or legal guardian, who agrees to our Terms on your behalf. Where your access is provided by a school, club, or team, that organization is responsible for obtaining any parental or guardian consent required before assigning you a seat.
Parental and guardian rights. A parent or legal guardian of a user aged 14 to 17 may contact us at info@teamq.io to review the minor's personal information, withdraw permission, or request deletion. We may need to verify the requester's identity and relationship to the minor before acting.
6. Data Retention
We retain personal information for as long as needed to provide the Services, comply with our legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we delete or anonymize it.
Deleting your account. You can delete your account and all associated data at any time from Settings in the TeamQ app or by emailing info@teamq.io. We will complete deletion within 30 days. If your access was provided by a team or organization, deleting your account also removes your results from that organization's view.
7. How We Protect Information
We maintain administrative, technical, and physical safeguards designed to protect personal information appropriate to its sensitivity. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential and for notifying us promptly of any unauthorized use.
All data is encrypted in transit between the app or web browser and the backend API. Additionally, all data is encrypted while in-flight among the different services hosted within AWS. Finally, all data is encrypted at rest within the databases used by the Services.
8. Your U.S. State Privacy Rights
Twenty states have comprehensive consumer privacy laws in effect, including California, Virginia, Colorado, Connecticut, and Texas, among others. Depending on where you live, you may have some or all of the following rights regarding personal information for which we are the responsible party:
• Know and access: to confirm whether we process your personal information and to obtain a copy.
• Correct: to correct inaccurate personal information.
• Delete: to request deletion of your personal information.
• Portability: to receive your information in a portable format.
• Opt out: to opt out of the sale of personal information, targeted advertising, and certain profiling. As noted above, we do not sell personal information.
• Limit sensitive data: to limit the use of sensitive personal information where applicable.
• Non-discrimination: to exercise these rights without receiving discriminatory treatment.
How to exercise your rights. Submit a request to info@teamq.io. We will verify your identity before responding and will respond within the time required by applicable law. You may use an authorized agent where the law permits. If we deny your request, you may appeal by contacting info@teamq.io; we will inform you of the outcome and, where required, how to contact your state attorney general.
California “Shine the Light.” California residents may request information about disclosures of personal information to third parties for their direct marketing purposes. We do not share personal information with third parties for their own direct marketing.
If you are an athlete, parent, coach, or manager, many rights over assessment data are exercised through the organization that invited you, because that organization is the responsible party for that information. We will assist that organization in responding to your request.
9. International Users and the GDPR
The Services are operated from the United States, and information is processed in the United States. If you access the Services from outside the United States, you understand that your information is transferred to and processed in the United States, where privacy laws may differ from those in your country. TeamQ’s mobile app is only available in the United States.
For individuals in the European Economic Area, the United Kingdom, and Switzerland. Where the GDPR or UK GDPR applies and we act as a controller, we rely on the following legal bases: performance of a contract; our legitimate interests in operating and improving the Services; your consent, where requested; and compliance with legal obligations. Where we process personal information on behalf of an organization, we act as a processor under that organization's instructions.
Subject to applicable law, you may have the right to access, correct, delete, restrict, or object to processing, to data portability, and to withdraw consent. To exercise these rights, contact us using the details in Section 12. You also have the right to lodge a complaint with your local supervisory authority.
International transfers. Where we transfer personal information out of the EEA, the United Kingdom, or Switzerland, we use an approved transfer mechanism, such as the European Commission's Standard Contractual Clauses.
10. Marketing Choices
You can opt out of marketing emails by using the unsubscribe link in any marketing message or by contacting us. You will still receive service-related messages. To stop promotional text messages, reply STOP to any such message. See our Terms of Service for details on text messaging.
11. Third Party Links and Services
The Services may link to or integrate with sites and services we do not control. This Policy does not apply to those third party services, and we are not responsible for their practices. Please review their privacy notices.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will provide notice as required by law, for example by posting the updated Policy with a new “Last Updated” date or by notifying you through the Services. Your continued use of the Services after the effective date means you accept the updated Policy.
